Our Mail Merge tool lets you send customized mass emails and automatically schedule follow-ups. This helps you get more replies while saving time.
Start a mail merge and add recipients
Add contacts from your pipelines
To send a mail merge directly to contacts already stored in your Streak pipelines:
Select the boxes that you want to include in the mail merge by checking the box next to each box name. You can also check the box next to a stage name to select all boxes in that stage.
Click the Mail Merge icon in the pipeline toolbar (looks like a paper airplane ✈️). Choose whether to create a new mail merge or add contacts to an existing mail merge.
Review the Recipient’s List
Once selected, the right-hand mail merge panel shows your recipient list. From here you can:
✅ Include only starred contacts or a custom contacts column.
👀 Send yourself a preview of the mail merge for a specific contact.
📜 Jump to the email history of anyone your team has already contacted.
❌ Remove individual contacts from the list before sending.
✅ Toggle on "Internal Recipients" to send mail merges to contacts within your same domain.
💡 Pro Tip: Filter your boxes before creating the mail merge. For example, you can create a filter that only includes recipients who opened the last email you sent.
Add Contacts from a CSV
If you haven't added contacts in your pipeline yet, you can still send a mail merge by uploading a .CSV file.
Make sure your CSV has a dedicated column for email addresses.
Add additional columns for any variables you want to use (e.g., first name, company name, business type).
To upload a .CSV file for a mail merge:
Open a new email compose window.
You can do this in three places:
a. Use the Gmail compose button.
b. Click the + New Merge button at the top left after selecting the Merges tab in the left-hand navigation.
c. Click the blue plus “+” button in the top right corner under the All Mail Merge folder in the left-hand navigation.Click Mail Merge (next to the CC and BCC fields).
Choose Upload CSV and select your file.
Important Notes
Each row in the CSV represents one recipient.
Columns map to variables in your mail merge. For example, if your CSV has a “First Name” column, you can insert that variable into your email body for personalization.
Always double-check that the email address column is complete and accurate before sending.
Compose your mail merge
Compose a message to your recipients - each recipient receives a personalized email that looks like it was written just for them. Include variables for a more personalized message.
Compose the first message and add variables
Steps:
Add a subject line and body text (just like a normal email).
Open the Variables menu in the toolbar.
Select variables (e.g., first name, company) to insert into your message.
Preview how each message will look for your recipients by hovering over contacts in the recipient's list. Click the preview icon to send a version to your mailbox.
This ensures your emails feel personal and relevant.
Add follow-up emails to your mail merge
You can schedule automatic follow-ups if recipients don’t reply to your first message.
To schedule follow-up emails in mail merge:
Click Add follow-up in the right-hand mail merge menu.
Choose how many days to wait after the first message is sent.
Select business days (Mon–Fri) or any day (including weekends).
Choose the time of day to send (based on your timezone).
Write your follow-up message.
🔑 Notes:
Follow-ups are sent in the same email thread.
If a recipient replies, they are automatically excluded from future follow-ups.
Send or schedule your mail merge
When you're happy with your mail merge, have two options:
Send now – click Start mail merge now:
Schedule for later:
Click Send Later in the bottom right.
Choose a time to send the first message in the mail merge. Pick a suggested time, choose a date on the calendar, or type in a day and time like "Next Monday at noon."
Click Schedule.
See all of your mail merges in the Merges list
Find all of your mail merges, whether they're completed, currently active, or drafts, in the Mail Merges menu found in the left-hand navigation.
Click on a mail merge to see a list of recipients and how they've engaged with your messages. You can also see which emails are still scheduled for them.
In the "Mail Merges" folder, you can find:
All past, active, and draft mail merges.
Recipient engagement (emails received, viewed, and replied).
First and most recent send dates.
